DingTalk login challenge: case study of Alibaba Cloud deployment in overseas factories??? Solution//Global IPLC service provider of Shigeng Communication
一、In recent years, a large manufacturing enterprise in Shandong has set up a branch in Southeast Asia and decided to use DingTalk as a collaborative office platform to achieve unified management of the group. However, after deploying DingTalk on Alibaba Cloud, overseas factory employees encountered problems such as slow login and frequent timeouts.
This article analyzes the challenges faced by overseas factories in using domestic DingTalk services through this real case, and provides a detailed introduction to the design and implementation of solutions based on Alibaba Cloud

The initial architecture deployed all DingTalk related services on Alibaba Cloud East China Node 1 in China, which provided smooth access for domestic employees. However, employees in the Vietnamese factory often encountered the following issues when using it:
Login takes up to 20-30 seconds and sometimes even fails due to timeout
Message sending and receiving delay up to 3-5 seconds
The file upload and download speed is less than 100KB/s
Video conferencing lags severely, affecting daily communication efficiency
The IT department monitoring found that the network latency from Vietnam to Alibaba Cloud East China 1 node in China reached 200-300ms, and there was frequent packet loss. This not only affects work efficiency, but also hinders the digital collaboration process of the group-

Network links and performance bottlenecks
The quality of cross-border network access is influenced by various factors. The network link between China and Southeast Asia passes through multiple backbone nodes, and with each additional jump node, the risk of latency and packet loss increases accordingly.
Monitoring data shows that the link from Ho Chi Minh City, Vietnam to Alibaba Cloud's Hangzhou node requires 15-18 network nodes, with some nodes experiencing intermittent congestion, resulting in an average packet loss rate between 5% and 8%. For DingTalk audio and video calls and message synchronization that require high real-time performance, this network environment can hardly meet basic needs
Data compliance and security constraints
Vietnam's data regulations require that citizens' personal information should generally be stored within the country, and specific conditions must be met if it needs to be exported. Storing all Vietnamese employee data on domestic Alibaba Cloud nodes may violate local data compliance requirements.
Meanwhile, there are differences between the international and domestic versions of DingTalk. Accounts registered with overseas phone numbers cannot directly log in to the domestic version of DingTalk-
And enterprises also hope to maintain a unified platform experience, which increases the complexity of account system design.
Limitations of Service Architecture
The single regional deployment architecture adopted in the initial plan is difficult to meet the demand for global access. The DingTalk IM messaging service itself adopts a modular architecture, routing based on session dimensions rather than user dimensions. However, in this case, all data is still centrally stored in domestic regions, which cannot solve the fundamental problem of cross-border access.
3. Solution Architecture Design: Hybrid Cloud Deployment and Intelligent Routing
In response to the above challenges, the IT team has designed a hybrid cloud deployment solution based on Alibaba Cloud, with the core of "data proximity, unit deployment, and intelligent routing".
Cross border network acceleration and access point optimization
Firstly, utilize Alibaba Cloud's Global Acceleration service to establish cross-border network channels. Deploying access points in the southern Asia Pacific (Singapore) region, Vietnamese users request to first reach the Singapore node and then transmit back to the domestic node through Alibaba Cloud's internal high-speed network.
This solution reduces network latency from 200-300ms to 80-120ms and keeps packet loss rate below 2%. For functions that do not require high real-time performance, such as OA approval and log filling, the experience has been greatly improved
Unit based deployment architecture
To address data compliance and performance issues, the team referred to the DingTalk modular architecture design concept and split the service into two units:
Domestic unit: Serving headquarters employees and storing domestic employee data
Overseas Unit: Serving employees of the Vietnamese factory and storing Vietnamese employee data
Two units synchronize necessary data, such as organizational structure basic information, through Alibaba Cloud DTS. Daily messages, files, and other data are stored separately by unit to meet data compliance requirements.
4. Results and Benefit Analysis: Significant Improvement in Collaborative Efficiency
After the implementation of the new architecture, both system performance and user experience have significantly improved.
Quantitative benefits: The average time for Vietnamese factory employees to log in to DingTalk has decreased from 25 seconds to 3 seconds, the success rate of message sending has increased from 87% to 99.8%, and the speed of file upload and download has increased by more than 10 times. The complaint rate of video conference lag has decreased by 95%.
Qualitative benefits: The collaboration efficiency between overseas factories and headquarters has significantly improved, and employees' acceptance of digital tools has increased. A unified platform facilitates centralized IT management and maintenance, reducing operational complexity.
Cost analysis: Although adding overseas nodes incurs additional costs, through reasonable architecture design and resource scheduling, the overall cost is controlled within the budget and far below the cost of using dedicated line solutions.
In the future, with the deepening of the YunTalk integration strategy, the integration of DingTalk and Alibaba Cloud's basic services will become even closer, and multinational enterprises will have more room for optimization when deploying collaborative office platforms. New technologies such as biometric login and AI security monitoring will further simplify the login experience of overseas factories, making geographical boundaries no longer a barrier to collaboration.
